The situation before
Employees spent a large part of their day copying data between systems: pulling invoices out of mail by hand, comparing the amounts and typing the same values into the accounting system.
This work is slow and dull, and a single typo in an amount becomes a problem that is found only weeks later.
What we built
The assistant reads incoming documents, extracts the required fields, compares them with the records in the accounting system and prepares the entry.
Everything it is sure about goes through automatically. Everything it is not sure about, such as an unusual amount or an unknown supplier, goes to a person with both versions side by side.
The exchange between the systems is automatic in both directions, so the result of the person's decision returns to every system without being typed again.
What changed
People stop retyping and start deciding: their time goes to the cases that really need judgement.
Typing errors disappear from the routine part of the process, and each entry keeps a reference to the document it came from.
